MailOfficially for Windows
MailOfficially for Windows puts your MailOfficially email in its own app on your Windows PC. Your mailboxes, folders and All inboxes on the left, your emails in the middle and the email you are reading on the right, with a notification when new mail arrives and the unread count by the clock.
Before you start
- Windows 10 or Windows 11, 64-bit. No administrator rights needed: it installs for your Windows account only.
- A MailOfficially account. You sign in with the same email address and password as on mailofficially.com and the phone apps.
- Microsoft Edge WebView2, which comes with Windows 10 and 11, shows your emails with their formatting. Without it, emails show as plain text.
"Windows protected your PC"
If Windows shows a blue box that says "Windows protected your PC" when you open the installer, click More info, then Run anyway.
Install
- Download the installer, MailOfficially-1.0.1.exe, and double-click it.
- If Windows says "Windows protected your PC", click More info, then Run anyway.
- That's it. It installs for your Windows account only and adds MailOfficially to the Start menu. It also shows in Windows Settings > Apps.
- Type your full email address and your password, then click Sign in.
- If your account has 2-step verification, type the 6-digit code from your authenticator app. You can also use one of your recovery codes.
- Your mail appears. Next time the app opens straight away, already signed in.
Forgot your password? Click Forgot password? on the sign-in window, the same as on mailofficially.com.
Passkeys: this app can't sign in with a passkey (Face ID, Touch ID or fingerprint) yet. If your account uses only passkeys, add an authenticator app first in MailOfficially on the web under Settings > Security, or use a recovery code.
Your password is never stored. Your sign-in is kept on this PC, protected by Windows for your Windows account only.
The window
On the left
Your mailboxes and folders with their unread counts: All inboxes if your account has it, Inbox, Drafts, Sent, Archive, Spam, Trash and your own folders, plus every mailbox shared with you and its folders.
In the middle
The emails in that folder: who sent it, the subject, the first words and the date. Unread emails are bold with a dot. A flag and a paperclip show flagged emails and attachments. Search is at the top.
On the right
The email you are reading, with Reply, Reply all, Forward and the other buttons above it.
The app keeps a copy of your folders and recent emails on this PC, protected by Windows, so it opens at once and shows your mail even when you are offline. Press F5 to check for new mail now.
Reading
- Emails show with their own formatting and their pictures, straight away. Pictures load through MailOfficially's own server, so senders never see your IP address or when you opened their email.
- Links open in your web browser. An email address link starts a new email.
- Attachments: open or save them. Programs and scripts are only saved, never opened from the email.
Writing
- Click New email, or Reply, Reply all or Forward on an email you are reading. A forward keeps the original attachments.
- Start typing in To, Cc or Bcc and pick people from the suggestions.
- Add attachments with Attach or by dragging files into the window, up to 25 MB in total.
- Your signature from MailOfficially is added for you. If a mailbox shared with you lets you send, you can pick it in From.
- If your company checks for sensitive data, you may see a warning before the email goes. Choose Send anyway only if it is fine to send.
Sorting your mail
| You can | How |
|---|---|
| Mark as read or unread | Button above the email, or Ctrl+Q and Ctrl+U |
| Flag an email | The flag button, or Insert |
| Move, archive or delete | The buttons above the email, or right-click it in the list (Move to..., Archive, Delete). Delete moves it to Trash; deleting from Trash removes it for good |
| Mark as spam or not spam | Right-click the email in the list: Move to Spam, or Not spam in the Spam folder |
| Snooze | Snooze, then pick a time. The email comes back to your Inbox then |
In a mailbox shared with you for reading only, you can read emails and mark them read or unread; the other buttons are hidden.
Notifications and the tray icon
When new mail arrives you get a Windows notification. The MailOfficially icon by the clock shows how many emails are unread, and so does the app's button on the taskbar. Addresses you muted in All inboxes stay quiet.
In Settings (bottom left of the window) you can choose:
- Start MailOfficially when I sign in to Windows
- Start in the notification area (no window): when Windows starts it, it opens as the icon by the clock. Opening it yourself always shows the window
- Keep running in the notification area when I close the window, so new mail still shows a notification. Right-click the icon by the clock to open it again or to quit
- Show a notification for new mail

Known limits
- Drafts open for reading. To carry on writing a saved draft, use MailOfficially on the web or the phone apps for now.
- No passkey sign-in yet: use your password with an authenticator code or a recovery code.
- Notifications show in the Windows notification centre, without buttons on them yet.
- Settings pages such as rules, out of office, the Snoozed list and your signature are on the web: open mailofficially.com/app.
Updating
There are no automatic updates yet. To update, download the latest installer from docs.mailofficially.com/mailofficially-windows and run it. It replaces the installed version and keeps your sign-in.
Removing it
- Go to Windows Settings > Apps > Installed apps > MailOfficially > Uninstall.
This signs this PC out and removes the app, the Start menu entry, starting with Windows and the copy of your mail kept on this PC. Your email stays in your account: everything is still on mailofficially.com and in the phone apps.
